Setup Outlook 365 and Difference between IMAP and POP3

Outlook 365 is a part of Microsoft Office Suite. Microsoft providing an Email client called Outlook as a Gmail. Outlook also contains Calendar, Task Manager, Contact Manager, and Web Browsing etc.

First, need to enable  POP/IMAP in your Gmail account using below steps:

  • Log in your Gmail account
  • Click on settings (Right Side)

Outlook Setting

  • Click on Forwarding POP/IMAP.
  • In POP Download, enable the POP of all emails.

  • Select Archive Gmail Copy from a drop-down list

You should have to select one method to setup Gmail to connect Outlook from POP or IMAP.

What is the difference between POP and IMAP-

IMAP and POP are protocols or methods to use your email/messages from the mail server using a client like MS Outlook, Thunderbird, Apple mail etc. Both are internet standard protocol. IMAP and POP both allowing you to access emails (Send or Receive email) from the mail clients.

IMAP listen port number 143 over SSL and POP3 listens on port 110.

Which one is best IMAP or POP?

IMAP is good because in POP3 is get downloaded in the client and get removed from the mail server while in IMAP, it synchronizes and copies into the email client. We can access our email or messages from anywhere any devices using IMAP.

If you want to use your message on only a single machine, then you should use POP3

 How to setup Outlook-

  1. Open Outlook 2016 and click on File
  2. Click on Add Account. Type your email address and Click on Manual Setup
  3. Choose Account Type (IMAP/POP).
  4. Give Incoming and Outgoing Server Information as per account type.

 

Incoming Mail Server IMAP)       imap.gmail.com

Encryption Method: SSL/TLS

Port: 993

Outgoing Mail Server:                   smtp.gmail.com

Encryption Method: SSL/TLS

Port: 465

Incoming Mail Server (POP3)       pop.gmail.com

Encryption Method: SSL/TLS

Port: 995

Outgoing Mail: smtp.gmail.com

Encryption Method: SSL/TLS

Port: 465

  1. Give the password to your email account.
  2. You will get a pop up to successfully set up your account. Now you can check your email in outlook 365 using IMAP and one copy will be stored on the mail server.
